How to plan a live event

First of all, if you haven't yet created your first live event see How to get started with your live event. With TwentyThree you have the tools needed for making, promoting and hosting the digital event. This article describes configurations of all settings for a live event, split into three main parts; 1. Before, 2. During and 3. After the event is actually taking place.

The planning grid

Simply log in to the backend of your TwentyThree site, choose "Live" and the event you want to configure. Now you are presented with the planning grid which functions as a check-list of what we recommend you do before, during and after the event is live. The planning grid is also split into three categories of settings to configure; Info, Promotion and Production.

You can easily see which settings you have configured (in green) and which you are left to configure (in grey). Define which of the settings options are needed for your event. A set of default options are available. You can choose to add or remove options simply by clicking "+"" in the top right corner.

Before the event

With TwentyThree you can set up a full live event page weeks or even months before the event starts to begin building your audience. To make sure you get up and running smoothly and provide the best experience for your audience there are a few basic changes in the settings to be made, before your event goes live.

Before: Info

First of all, the event page is the anchor for building expectations: It's quick to set up all the information about the event, all customizable to fit your brand. Read all about the event page this article.

Describing and creating a schedule for the live event is all about making sure your audience can identify and understand what you event will be, before it takes place. Read about settings for creating an identity for your event in the article Describe and schedule the event.

In a situation where you wish to limit who can take part in your live event, you can configure access restrictions like password protection, geoblocking or paywall. For information about this, read the article Access restrictions for live events.

Before: Promotion

Before the event you'll need to invite people, have them RSVP, keep updating and build expectations. Read all about how to build an audience this article. ou will only see the Promotion section if your Live event is public.

Make sure you also activate Banners to promote your event on your corporate website, your blog, partnering sites and even in in paid advertising such as Google Adwords. Read all about Banners in this article.

Before: Production

During the live event

'Post moments' allows you to share highlights and best moments. In addition to snapshots from the live event itself, you can post quotes, tweets, links, status updates -- and even Instagram photos and uploaded files. Read all about Posts and Moments here.

We recommend that you record all parts of the event and publish them as quickly as possible. Read all about how to record the event

After the event

Your event is over, but the job of creating a long-tail effect starts now. Make sure your event page is updated with the latest comments, clips and posts.

After: Promotion

Remember to send out a summary of the event to the full audience -- and especially to the people that signed up, but didn't have a chance to watch live. And of course the live banner will adapt to include the clips and this information to keep promoting your event and get the most value from it.

After: Production

The recordings that were made during the event can easily be multiplied into clips directly from TwentyThree, without the need for any special editing software or video editing skills.
